Voicemail Access
Dial *97 To access your mailbox. When prompted enter your password using the dial-pad. Dial *98 To access a mailbox not assigned to your extension.
To access a mailbox from outside the office: 1. First dial into your office. 2. If your call is answered by an IVR/Auto-Attendant, enter your extension number at the prompt. 3. If your call is answered by a person, have them transfer you to your extension. 4. When you hear your voicemail greeting press *. 5. Enter your mailbox password.
Visual Voicemail and User Settings
1. Open the web browser on your computer. 2. In the address bar enter the ip address or hostname for your Freevoice PBX. 3. At the User page click the Voicemail link. 4. At the login page enter your extension number for the user, and your voicemail password for the password.
Voicemail Greetings
A greeting is a short message that plays before the caller is allowed to record a message. The greeting is intended to let the caller know that you are not able to answer their call. The greeting can also be used to convey other information like when you will be available, other methods to contact you, or other options that the caller can use to receive assistance.
Unavailable Greeting If the voice mail system thinks that you are unavailable (e.g. you don’t answer the phone or your phone is not connected to the system) the caller will hear your “unavailable” greeting.
If you do not record the unavailable greeting and your name is not recorded it will be a generic message, like: "The person at extension number is unavailable". If you do not record the unavailable message, but your name has been recorded it will be a generic message, like: "Your Recorded Name" + "is not available".
Busy Greeting The busy greeting if recorded will be played to callers who reach your voicemail while you are on another call.
Temporary Greeting You can also record a temporary greeting. A temporary greeting will always be played regardless of your “busy” or “unavailable” status. This could be used, for example, if you are going on vacation and want to inform people not to expect a return call anytime soon, but you do not want to re-record your busy and unavailable greetings when you come back.
Recording Your Greetings and Changing Your Password
1. Log in to your mailbox as described above 2. Press the "0" key for Mailbox options. * Press “1” to record your unavailable message. * Press "2" to record your busy message. * Press “3” to record your name. * Press “4” to record your temporary greeting. * Press “5” to change your password.
Message Notification When a message was left in you mailbox, you can elect to receive email notifications. To enable these notifications log in to the user portal as described above.
Message Folders The voice mail system allows you to save and organize your messages into folders.
When you first log into your mailbox, the voice mail system will make the “New Folder" the current folder if you have any new messages. If you do not have any new messages the voice mail system will make the “Old Folder" the current folder. When a caller leaves a message for you, the voice mail system will put the message into the “New folder". If you listen to the message, but do not delete the message or save the message to a different folder, the message will be moved to the “Old folder". There are ten folders as listed below:
Main Menu The main menu will be the first menu that you are presented with once you have logged in.
* Press 1 to listen to messages in the currently selected folder. * Press 2 to change folders. * Press 3 for Advanced options. * Press 0 for Mailbox options – Greeting Recordings, Password etc. * Press * to repeat the menu options. * Press # to exit from the voice mail system.
Message Envelope The voice mail system can play a message “envelope” before playing the message. Depending on how your mailbox configured, the message envelope may consist of the items listed below. Pressing “1” any time during the playback of the message envelope will skip to the message playback.
The Message Number. Date and time that the message was received. Caller ID information. Duration of the message.
Message Playback During the playback of a message, any of the following keys may be pressed:
* Press * to rewind the message by 3 seconds. * Press # to fast forward the message by 3 seconds. * Press 0 Pause the message playback. Press any other key to resume playback. * 1456789 - These keys will halt the playback of the message and perform the corresponding action from the post-message playback options.
Post Message Playback After the message has been played back, the system will play a prompt and wait for you to press a key.
* Press 1 to go to the first message in the current folder. * Press 2 to change folders. See below for more information. * Press 3 for Advanced options. See below for more. * Press 4 to go to the previous message in the folder. * Press 5 to replay the current message. * Press 6 to go to the next message in the folder. * Press 7 to delete or undelete the message. * Press 8 to forward the message to another user on the system. * Press 9 to save the message to a different folder. * Press 0 for mailbox options. * Press * to replay the prompt. * Press # to exit the voice mail system.
Advanced Options After Listening to a Message The following keys may be pressed in the “Advanced Options” menu after listening to a message.
* Press 1 to record a message and send it directly to the mailbox of the person that sent you the current message. * Press 2 to call the person that left the message back. Must be enable by the administrator. * Press 3 to play the message envelope. * Press 4 to place an outgoing call. Must be enable by the administrator. * Press 5 to leave a message for another user on the system. * Press * to return to the main menu.
