iSymphony User Guide

 Windows
iSymphony has many features which are organized into several different sections, or windows of the
application. Each window has it’s respective properties which aids in displaying the information to the
end user.

Layout

Windows can be:

  •    Moved around by clicking and dragging the window tab to another location within the panel.
  •    Resized by clicking and dragging window edges.
  •    Maximized by double clicking the tab (This will place all other windows in a Fast View). Double click the tab again to normalize the window.
  •    Detached from the main panel by right clicking on the window tab and selecting detach.
  •    Placed in a Fast View use the minimize button for that window.
  •    Accessed in a Fast View; click the window icon in the Fast View bar. To close the window, click the icon again.

Fast Views

Fast Views are the ability to minimize a window into an icon for quick retrieval. Once a window is minimized it will shrink into a single icon. These icons can be grouped together and moved to all four sides of the iSymphony application.
To access a window from a Fast View simply click on the icon. The window will “hover” over the other windows. Click the
icon again to hide the window again. Removing an icon from a Fast View is accomplished by right clicking on the icon and clicking “Close”. Furthermore, you can restore a window from a Fast View into a normal window by dragging the icon to
the location you prefer. Before letting go of the mouse button you will see an outline where the window will be placed. Move it around until you're pleased with the location.

Profile Navigator
The Profile Navigator allows users to control their profiles from a single window. All other windows are accessible from the Profile Navigator. To open a window, double click on the item. A subsequent tree item will be displayed for each profile that exists on that client. Each window will have the profile name appended to it so the user can differentiate between two of the same types of windows.

Local Extensions

The Local Extensions window shows all extensions that the current profile uses.
Setting Presence and Away Notes:
  • To set presence right click on the header of a local extension and select Availability, then select the presence.
  • To set your note, right click on the header of a local extension and select Note. From here you can set a note as well as a date and time for your return.
  • To set the status and note for all local extensions at once use the buttons in the header of the local extension window.
  • To view other extensions notes, simply hover over the header of a remote extension. A balloon will pop up with their availability, note, and return time.
Remote Extensions
This window shows all other extensions in the system that are not used by this profile.
Extension Searching and Sorting
  • You can search for a specific remote extension using the search box in the upper right hand corner of your Remote Extensions Area. Here you may type the extension number or name.
  • You may sort your extensions in various ways using the sort drop down box and the reverse button.
  • You may switch to a specific Extension Directory (explained in the next section) using the directory drop down box.
Barging
  • To barge in on a call click the barge button on the extension or call you wish to barge in on.
  • The barger will automatically be muted but can un-mute/mute themselves with the mute button in the local extensionsarea.
Recording
  • To record a call simply click the record button on the extension/call you wish to record
  • Recorded calls by default are stored on the server.
Email and Chat
  • If set up you can initiate an email using the email button on remote extensions.
  • I set up you can initiate a chat session with a user by using the chat button on remote extensions. Requires IM Server.
Held Calls
Held calls are displayed in the Held Calls window. No other iSymphony user can see anyone else's calls on hold.

Parked Calls
Parked calls are displayed here. All users will be able to view all parked calls as well as any notes set for them.

 

Queues
Queues which iSymphony is monitoring are displayed here.

Conference Rooms
Conference rooms which iSymphony is monitoring are displayed here.

Extension Directories
This is where the Extension Directories are displayed.

Call Control

Originating
Origination is initiated via double clicking or dragging and dropping an object. Places you can originate to using the iSymphony panel:

  • Other extensions (Double click the extension)
  • Voice Mail (Double click the voice mail icon; works on both local and remote extensions)
  • Cell Phone (Double click the cell phone icon; works on both local and remote extensions)
  • Conference Room (Double click the conference room item or drag and drop an extension, local or remote, into the conference room item)


Transferring
Places you can transfer calls from:

  • Local Extensions
  • Remote Extensions
  • Held Calls Area (You can also pick up a held call by double clicking it)
  • Parked Calls Area (You can also pick up a parked call by double clicking it) (Can only transfer to extensions)
  • Queue (You can also pick up a queue call by double clicking it)
  • Conference Room

 Places you can transfer calls to:

  • Extensions (Drag and Drop)
  • Voice Mail (Drag and Drop: works on both local and remote extensions)
  • Cell Phone (Drag and Drop: works on both local and remote extensions)
  • Held Calls Area (you can also pick up a held call by double clicking the item in the held call list)
  • Parked Calls Area (you can also pick up a parked call by double clicking the item in the held parked list)
  • Queues (you can also pick up a queue call by double clicking the call item in the queue list)

Setting Call Notes
      You can set notes for calls that are on hold or parked.

  • To set a note for a call click the note area for that call, type in your note and hit enter.
  • Held call notes will only be visible to you.
  • Parked call note will be visible to all users logged into the system.

Views
Views can be switched using the buttons at the top of the Local and Remote Extension areas.
   1. Simple View
       a) Allows you to view and manage the extension's most
          recent linked call.
   2. Detailed View
       a) Allows you to view and manage all of the extension's
          linked calls.
   3. List View(Only available in the Remote Extensions area)
       a) Allows you to view extensions in a compact grid like view.
       b) Allows you to view and manage all the extensions calls.
       c) To show all the calls that the extension is on expand the extension using the "+" button at
          the beginning of the extension row.

Extension Directories

Extension directories are used to group related sets of extensions together so only those extensions will be viewable in your remote extensions area if selected.

  • To create an extension directory use the add bar in the Extension Directory area.
  • To add extensions to directories simply click and drag an extension header into the directory to which you wish to add that specific extension.
  • To share your extension directory with other users in the system right click the extension directory and select permissions. A permission window will appear. Use theadd user to permission list area to share this directory with that user.
  • Using the check boxes in the permission window you can grant other users the ability to modify that specific directory.
  • Admin permission allows users to modify the permissions and name of that directory as well as allowing that user to remove the directory entirely.
  • Add Ext. allows that user to add extensions to the directory.
  • Remove Ext. allows users to remove extensions from the directory.

The owner of the directory has all rights to modify
the directory.

Conference Rooms
Conference Rooms which are configured are displaying in this window. Calls and extensions can be
dragged into and out of the rooms. If given permission you can create a temporary conference room by
clicking the new conference room icon . Then give the conference room a name, modify the room
options and add extensions to invite. Extensions that are added will be rung immediately upon creation;
once answered they will be dropped directly into the new conference room. The user that created the
temporary conference room can change the options by right clicking and selecting "Options". Once the
conference room is no longer needed you can right click and select "Remove". You will be asked if you
would like to remove the users in the room. If you select “yes”, all users will be kicked from the room
and the room will be removed from the list. Otherwise the room will be removed from the list but the
users will remain in the room.

Call Pop ups

Caller Id
iSymphony provides users with a small caller ID popup in the bottom right hand corner of the screen on an incoming call. You can turn this feature on and off by going to Tools→Preferences→Call Popup

URL
By specifying a URL in Tools → Preferences → Call Popup along with the caller ID insertion tags iSymphony can open a URL in the users default web browser on an incoming call with the calls caller ID information inserted into that URL. This allows iSymphony to integrate with web based CRM applications. By using the "Open URL on calls from office extensions" you can enable/disable URL popups on calls from extensions that are configured within iSymphony.

Extension Box Size

By default iSymphony will resize the extensions boxes for remote extensions in the Simple and Detailed views to show the entirety of all extension information. The size can be set to a static width by going to Tools → Preferences → Remote Extension Box Size.

Chat Options
There are several options available if you're using the chat capabilities. To access these go to Tools →
Preferences then click on the Chat section.
